JOB PURPOSE
KEY ACCOUNTABILITIES
Tender Strategy Development: Lead the development of tender strategies and approaches for oil and gas projects. Collaborate with senior management, business development, and technical teams to assess project opportunities, define bid strategies, and identify competitive advantages.
Tender Management: Oversee the tender management process, including the identification of tender opportunities, assessment of bid requirements, and coordination of tender activities. Ensure adherence to tender timelines, procedures, and quality standards.
Team Leadership: Manage a team of tender coordinators, specialists, and support staff responsible for preparing and submitting tender documents. Provide leadership, guidance, and support to ensure the team's effectiveness and performance.
Client Engagement: Serve as the primary point of contact for client inquiries, clarifications, and communications related to tender submissions. Maintain positive relationships with clients and address their concerns or queries in a timely and professional manner.
Bid Documentation Preparation: Oversee the preparation and compilation of tender documents, including bid proposals, technical specifications, commercial terms, and supporting documentation. Ensure that all tender submissions are comprehensive, accurate, and compliant with client requirements.
Coordination with Internal Departments: Facilitate communication and coordination among internal departments involved in the tender process, including business development, engineering, procurement, legal, and finance teams. Coordinate meetings, discussions, and follow-ups to ensure alignment and collaboration.
Vendor and Supplier Management: Establish and maintain relationships with vendors, suppliers, subcontractors, and service providers to support tender submissions. Coordinate the collection and evaluation of vendor proposals to facilitate the bid process.
Quality Assurance and Compliance: Implement quality assurance processes to review and validate tender documents for accuracy, completeness, and compliance with company standards and tender requirements. Conduct thorough checks to ensure that all necessary documentation and certifications are included in the tender submissions.
Deadline Management: Monitor tender deadlines and submission requirements to ensure timely completion and submission of tender documents. Coordinate with internal teams to prioritize tasks, allocate resources, and manage timelines to meet submission deadlines.
Reporting and Documentation: Maintain accurate records of tender documentation, correspondence, and communications. Prepare regular reports and updates on tender activities, status, and outcomes for management review and decision-making.
QUALIFICATIONS / CERTIFICATIONS
Bachelor's degree in Business Administration, Engineering, or a related field. Master's degree preferred.
