JOB PURPOSE

The Logistics Administrator will be responsible for supporting and executing logistics activities within the Operations & Maintenance department. To oversee and coordinate our supply chain operations. The ideal candidate will ensure efficient movement of goods, maintain accurate records, and support logistics processes to optimize efficiency.

KEY ACCOUNTABILITIES

  1. Coordinate and monitor supply chain operations, including shipping, transportation, and warehousing
  2. Maintain accurate records of shipments, inventory levels, and deliveries.
  3. Collaborate with procurement, operations, and other relevant teams to ensure timely and accurate delivery of materials, equipment, and supplies.
  4. Prepare shipping documents, invoices, and customs paperwork as needed.
  5. Monitor the SO tracking to make ensure the funds not exceeded and liaising with vendor to update accurate tracking.
  6. Provide a summary to reconcile with the final invoice submission and initiate refund.
  7. Maintain accurate records and documentation related to logistics activities, including invoices, receipts, and shipping records.
  8. To create Logistics Request Services (LSR) & Purchase Requisition (PR). Familiar with SAP MM Module.
  9. Perform Good Received Noted (GRN) once job / item delivered and invoice submitted.
  10. Coordinate with the 3PL for SOFA-related activities and ensure refund processing is aligned with Finance
  11. Track and resolve any issues related to deliveries, damages, or delays.
  12. Expedite all open purchase orders to ensure on-time delivery of materials, equipment, and supplies.
  13. Assist in optimizing logistics processes, identifying areas for improvement, and implementing best practices to enhance efficiency and reduce costs.
  14. Collaborate with Logistics Manager, Logistics Coordinator, Projects, and Operations Team to identify suitable vendors to provide vessel chartering, bunkering, and marine related operations support.
  15. Support logistics operations for ad-hoc projects on both local and international levels, ensuring timely and efficient. 

QUALIFICATIONS / CERTIFICATIONS

Diploma/General education degree with courses in general supply chain/office procedures

RELEVANT EXPERIENCE

  • Diploma/Bachelor’s degree in supply chain management, logistics, business administration, or a related field for senior logistics coordinator positions.
  • With minimum 2-year experience in logistics matter
  • Proficient in English, with oral and written communication skills
  • Proficient us of industry standard IT systems (e.g., Microsoft Office)
  • Proven ability to work independently and to prioritise own work effectively in a busy, multi-faceted role.
  • Must be trustworthy and able to maintain confidentially with high level integrity & commitment.
